Booking On-Demand Platform

Terms and Conditions (Internal Use Only – Mandatory Compliance)

Article 1 – Purpose and Authority

These Terms carry the full authority of DWTC management and apply to all Users (employees, sections, and departments) and Providers (sections and departments delivering services).
Compliance with these Terms is obligatory. Failure to comply may result in disciplinary action, financial accountability, or escalation to DWTC senior management, Human Resources, or Legal Affairs.

Article 2 – Definitions

DWTC: Dubai World Trade Centre.
Platform: The official DWTC booking system, digital application, or web solution.
User: Any DWTC employee, section, or department requesting services via the Platform.
Provider: Any DWTC section or department authorized to deliver services, resources, or support through the Platform.
Booking: A confirmed internal request entered into the Platform, binding on both the User and the Provider.
Account: A registered internal profile, traceable to an authorized DWTC employee, section, or department.
Booking On-Demand: The allocation method of the Platform where services and resources are secured strictly on a first-come, first-served basis.

Article 3 – Eligibility of Users

Only DWTC employees, sections, and departments may act as Users.
Unauthorized use of the Platform for personal, external, or non-DWTC purposes is strictly forbidden and will result in disciplinary measures.

Article 4 – Obligations of Users

Ensure booking requests are accurate, detailed, and aligned with DWTC approval processes (including budgetary sign-off, where required).
Use the Platform responsibly; intentional misuse, duplicate requests, or false entries are prohibited.
Respect DWTC resources and operational timelines. Misuse, negligence, or waste of resources will result in accountability measures.
Maintain professional conduct when engaging with Provider departments.

Article 5 – Cancellations by Users

Cancellations must be made within approved internal timelines.
Repeated late cancellations or misuse of booking slots will be escalated to management and may result in restrictions on future access, financial recovery charges, or disciplinary action.

Article 6 – Eligibility of Providers

Only DWTC-authorized sections and departments may provide services through the Platform.
Providers must ensure adequate manpower, resources, and systems to fulfill their service obligations.

Article 7 – Obligations of Providers

Deliver all confirmed bookings in a timely, accurate, and professional manner.
Maintain updated availability, cost allocations, and service descriptions within the Platform.
Uphold DWTC operational standards, service quality, and compliance with UAE laws and regulations.
Repeated cancellations, failure to perform, or delivery of substandard service will result in escalation.

Article 8 – Internal Cost Allocations

Inter-departmental charges or cost allocations must be processed through DWTC’s approved finance and accounting procedures.
Provider departments are responsible for accurate reporting and reconciliation with Finance.
Failure to comply may result in audit findings and escalation to DWTC Finance leadership.

Article 9 – Authorized Use

The Platform is a restricted DWTC internal system. Unauthorized access, tampering, or misuse is strictly prohibited.
All bookings shall be processed and allocated according to the Booking On-Demand principle (first-come, first-served).
In cases of conflicting requests, the matter shall be escalated to DWTC senior management, whose decision shall be final.
DWTC retains the right to monitor, audit, and intervene in Platform activity where operational necessity requires.

Article 10 – Accountability and Liability

Each confirmed booking is binding on both the requesting User and the providing Provider.
Users are accountable for the accuracy, approvals, and justification of their requests.
Providers are accountable for the execution, timeliness, and quality of their service delivery.
DWTC management reserves the right to impose corrective measures, including financial recovery, suspension of access, or disciplinary action.

Article 11 – Data Protection and Confidentiality

All information processed through the Platform is DWTC confidential data.
Unauthorized access, disclosure, or sharing of data is prohibited and may result in disciplinary and legal consequences.

Article 12 – Intellectual Property

The Platform, its systems, and content are the exclusive property of DWTC.
Copying, modifying, or unauthorized use is prohibited and subject to disciplinary and legal enforcement.

Article 13 – Suspension and Termination

DWTC reserves the right to suspend or permanently revoke any User or Provider account for misuse, fraud, or operational non-compliance.
Termination does not release Users or Providers from obligations relating to existing bookings.

Article 14 – Compliance and Enforcement

Compliance with these Terms is mandatory.
Violations will be subject to escalation through management, HR, or Legal Affairs.
DWTC reserves the right to impose sanctions including restriction of access, financial recovery, or disciplinary measures.

Article 15 – Governing Law

These Terms are governed by the laws of the United Arab Emirates.
Disputes shall first be escalated internally to DWTC management. If unresolved, disputes fall under the jurisdiction of the Dubai Courts.

Article 16 – Amendments

DWTC reserves the unrestricted right to amend, supplement, or revise these Terms at any time.
All Users and Providers are deemed to have accepted the revised Terms once published on the Platform.
